Common Questions

What does an event production company do, and how is it different from an event management or experiential agency?

An event production company builds and runs the event. That covers design and fabrication, infrastructure, logistics, permits and the crew on site making it happen. An event management agency coordinates suppliers and runs the programme. An experiential agency comes up with the idea. BLU does all three. We take a concept from first sketch to pack down, which means one team is accountable when something needs solving at 6am on site.

Can one company handle creative, build, staffing and compliance, or do we need separate suppliers?

One company can handle all of it. BLU delivers creative development, fabrication, infrastructure, staffing, permits and on-site management under one contract, one timeline and one budget. You brief one team and you hold one team accountable. If a creative or media agency is already appointed, we sit behind them as the production partner and stay out of their scope.

Who handles council permits and compliance for a brand activation in Melbourne?

BLU handles it. We prepare and lodge the council permit and approval applications for temporary structures and public activations. We write the traffic management plans, crowd management plans, risk assessments and safe work method statements. We deal with the City of Melbourne and other Victorian councils, venue operators and Victoria Police directly, so you are not sitting in those conversations. Compliance gets scoped in week one, not found in week ten.

How far in advance should we book an event production company?

For a standard corporate activation, allow 8 to 12 weeks. That covers design, fabrication and permit approvals. If the job involves custom build, a road closure or permits for a temporary structure, allow 12 to 16 weeks. Those approval timelines belong to councils and authorities, not to us, and they do not move. BLU delivers on short turnarounds regularly. You just have fewer options the later you start.

What experience does BLU have delivering large-scale public and major event activations?

BLU works in high-visibility public environments where a failure is a public failure. Recent work includes production for Conmebol during the FIFA Women's World Cup, the Carlton In Business Grand Final event, The Long Walk, Diner en Blanc, Me and UooUoo and the VMA Congress. These are jobs with real crowd numbers, multiple stakeholders and compliance conditions attached. Full project detail and imagery sits on our projects page.

What happens if our brief or scope changes late in the process?

We re-scope it and tell you what it costs and what it risks, straight away. Late change is normal. Sign-offs move, budgets get cut, someone senior adds a requirement in week nine. BLU manages that through one point of contact who knows what still fits inside the permit and build timeline and what does not. You will not be told it is fine and then find out on site that it wasn't.

What should I ask an event production company before appointing them?

Ask six things. Who carries permit and compliance responsibility, you or them. What their public liability cover is, and whether they can send a certificate of currency. Who is actually on site running the job, and whether that is the person sitting in front of you now. Whether they have delivered at this scale in a comparable public environment. What is in the price, and what will come back later as a variation. What happens if the site, the weather or the approval conditions change. Anyone worth appointing answers all six on the spot. For the record, BLU carries $20m in public liability cover and provides a certificate of currency on request.
